Who you are

You are an experienced Team Operations Manager familiar with the responsibility of day-to-day operating and administrative requirements for high performing brokerage team focused on supporting their global corporate and institutional clients.  You have strong background in overseeing all components of the team operations including process management, CRM databases, support business development, client reporting, continuous improvement, and technology. 

A key member of the team, you will be responsible for championing the implementation of new strategies and process improvements to support growth and enable the team to scale in service delivery while fostering a high performance culture.

 

What you bring:

  • Bachelor’s degree (BA/BS) and two to five (2-5) years of related administrative experience including budget management and supervision experience

  • Good financial background and experience ensuring local revenue recognition processes are followed and adhere to company and GAAP guidelines

  • Ability to assist the Managing Director in the recruitment of new brokerage professionals by drafting all required documents such as term sheets, IC Agreements, draw agreements etc.

  • Ability to lead and direct a variety of vendors, provide critical thinking to problem solving

  • Ability to develop systems/processes and/or teams that are flexible, adaptable and results oriented reaching the goal of maximum efficiency

 

Bonus skills and experience:

  • Commercial Real Estate operations background

  • Experience in directing and maintaining team spirit

 

What success looks like:

  • You will prepare a variety of reports for internal and external stakeholders (e.g., activity reports for clients, management reports, status updates, and contract updates).

  • You will evaluate and recommend improvements to tools, and technology to support operational efficiency and improve client experience

  • You coordinate all invoicing, contract administration, and management for client accounts and transactions

  • You will manage contract development process, including liaising with internal and external resources, editing, and updating relevant documents

  • You assist in coordination of transaction due diligence processes, document management, marketing materials, client updates, key date tracking, timelines, and signature coordination

  • You will manage all inputs and processes related to CRM, pipeline management, and prospecting databases to support lead generation and development

  • You will assist in the development of marketing materials and collateral by partnering with brokers and internal departments to support business development initiatives

  • You will coordinate team goal setting, business planning, and development plan deadlines to support long term growth

  • You will oversee all revenue forecasting, tracking, and reporting through CRM and client specific databases
