Qualifications

Minimum Requirements

  • High School Diploma or GED.
  • At least one year of experience as a receptionist using a multiple line phone system.
  • At least two years of experience in providing administrative support in a fast-paced environment.
  • Ability to pass a federal background check and obtain a suitability determination.
  • U.S. Citizenship required.
  • Must live in the US 3 of the last 5 years (military and study abroad accepted).
  • Valid driver's license preferred.
  • Excellent customer service skills.
  • Excellent verbal and written communication skills.
  • Attention to detail.
  • Excellent organizational skills.
  • Excellent spelling, grammar and proofreading skills.
  • Excellent interpersonal skills and the ability to exercise tact and confidentiality with internal and external contacts at all levels.
  • Flexibility to adapt to changing priorities.
  • Knowledge of general office procedures.
  • Working knowledge of MS Word, Excel and Outlook.
  • Ability to work with computers and the necessary software typically used by the department.

Working Conditions: Encountered on a regular basis as part of the work this job performs.

  • Typical office environment.
  • Ability to use standard office equipment such as copier, computer, keyboard, telephone and fax machine.
  • Ability to carry up to 10 pounds to meter mass mailings, maintain paper supply in printers & copiers.

Responsibilities

Summary

Provides administrative support for management and assigned departments.

Primary Duties and Responsibilities

  • Answers all incoming phone calls and directs to the appropriate employee. Pages employees when necessary.
  • Sorts and distributes mail to appropriate employees and departments.
  • Greets visitors, issues visitor badges and maintains visitor sign-in log. Escorts visitors when necessary.
  • Provides administrative support for Monitoring and Install departments. May include mailings, errands, events and hosting of customer visits.
  • Assists Monitoring Customer Service by processing customer correspondence, preparing packets for new customers with proper documentation.
  • Assists Partnership Development Team with printing and mailing packets for Customer Trainings
  • Assists Installer Services Manager with reports, inventory management, mileage verification and customer phone line installation.
  • Absorbs overflow of Monitoring Operations duties when needed, verifying photo match, court tracking and CODOC client call in line.
  • Provides clerical support for all Monitoring Operations departments by word processing and printing documents, filing, ordering office supplies and making copies.
  • Assist Facilities Coordinator to pick up supplies and catering in absence of delivery options.
  • Assists Office Manager with tracking of legal requests, and maintenance of log of inquiries/results.
  • Serves as a Notary for legal documents as necessary.
  • Performs other duties as assigned.
